TERMS OF SALES & BOOKING CONDITIONS
General Terms of Service & Legal Contract for Online Tour Purchases & Agency Services
Effective Date: January 1, 2026 | Last Updated: October 2026 These Terms of Sales & Booking Conditions constitute a legally binding agreement between Link Asia International Travel Co., Ltd ("Company", "We", "Us") and the customer ("Client", "Traveler", "You"). By making a booking, placing a deposit, or purchasing services on https://linkasiatravel.com, you confirm that you have read, understood, and unconditionally accepted all terms set forth herein.
📑 1. CONTRACTUAL BASIS & LEGAL STATUS
- Company Information: Link Asia International Travel Co., Ltd is a legally registered travel company headquartered at 12th Floor, C Tower, Ho Guom Plaza, 102 Tran Phu, Hadong, Hanoi, Vietnam. We operate as a premier licensed Travel Agency, Destination Management Company (DMC), and Local Trip Curator across Vietnam, Laos, Cambodia, Myanmar, and Thailand.
- Client Capacity & Lead Authority: By placing a booking request via website form, email, or WhatsApp, you certify that you are at least 18 years of age and possess legal authority to enter into binding agreements on behalf of all group members listed in the reservation.
💳 2. PRICING, DEPOSIT & PAYMENT TERMS
All tour quotes on our official communications are listed in United States Dollars (USD) or Vietnamese Dong (VND), net of transaction fees.
💵 Payment Schedule:
- 📌 Initial Deposit (30%): A non-refundable deposit of 30% of the total tour package value is required at the time of booking confirmation. (Note: Peak holiday periods or luxury cruises may require a 50% deposit).
- ⏳ Final Balance (70%): The remaining 70% balance must be settled at least 30 days prior to the tour departure date.
- 🚀 Last-Minute Bookings: For reservations made within 14 days of departure, 100% full payment is required upon confirmation.

🏦 Accepted Payment Methods:
Payments can be made via International Credit/Debit Card (Visa, Mastercard, AMEX via secure gateway), Bank Telegraphic Transfer (T/T), or PayPal. Merchant card processing fees (typically 3%–3.8%) or banking fees are borne by the sender.
❌ 3. CANCELLATION & REFUND POLICY BY CLIENT
All cancellation requests must be submitted in writing via email to linkasiatravel.vn@gmail.com or official WhatsApp (+84 912 320 088). The effective cancellation date is the business day when written notice is received by Link Asia Travel (GMT+7).
3.1 Administrative Fee & Supplier Cancellation Costs:In the event of booking cancellation by the Client, a non-refundable Administration & Processing Fee of $30 USD per person will apply to all bookings, PLUS any actual non-refundable cancellation penalties charged by third-party suppliers (including airlines, luxury cruises, hotels, and train operators)
3.2 Standard Cancellation Fee Schedule:Unless specific supplier terms apply (e.g., non-refundable flight tickets or peak-season cruise guarantees), the following general cancellation charges will apply based on the lead time before the departure date:

Note: Non-refundable items such as non-changeable domestic flights or peak-season hotel guarantees will be deducted from any refund amount.
3.3 Supplier Non-Refundable Items Exception:Non-refundable items, including issued domestic/regional flight tickets, Halong/Lan Ha Bay cruise deposit penalties, and peak-season/holiday hotel guarantees (Tet Lunar New Year, Christmas, New Year), will be deducted in full from any refund amount regardless of the cancellation timing.
⛈️ 4. ALTERATIONS & FORCE MAJEURE
- Itinerary Adjustments: Link Asia Travel reserves the right to modify tour routing or substitute hotels of equal standard in cases of extreme weather, severe traffic, or safety regulations to protect guest safety.
- Force Majeure: Neither party shall be liable for tour delays or failures resulting from uncontrollable acts of nature (typhoons, floods, Halong Bay cruise bans issued by Port Authorities), government restrictions, epidemics, or airport closures. In such cases, we will assist guests to reschedule dates or secure credit vouchers.
🛂 5. PASSPORT, VISA & TRAVEL INSURANCE
- Passport Validity: Guests must hold a passport valid for at least 6 months beyond departure date from Vietnam/Indochina with at least 2 blank pages.
- Visa Responsibility: Guests are responsible for securing valid Entry Visas (E-Visa or Visa on Arrival). Link Asia Travel provides full E-Visa consulting and Fast-Track assistance; however, final approval rests with the Immigration Department.
- Travel Insurance: Comprehensive personal travel insurance (covering medical, evacuation, luggage, and trip cancellation) is strongly recommended for all international travelers.
